    The Accounts Payable Coordinator is a highly visible role that will manage the daily and weekly processing of accounts payable.  The Accounts Payable Coordinator will also lead and oversee several other accounting and administrative functions including vendor management and setup, invoice approval and compliance, general ledger coding, W9's, journal entries, and reporting.  


    The Accounts Payable Coordinator role requires the wearing of "multiple hats" and is ideal for a self-driven individual that can own the entire process, create and propose process improvements, and be held accountable for time-sensitive deliverables.


    • Record recurring or non-complex journal entries
    • Reconcile general ledger accounts
    • Compile data and prepare a variety of reports
    • Prepare analysis and assist with special projects as required
    • Manage weekly check runs
    • Run and review bank reports such as checks cleared and positive pay files
    • Enter vendor invoices, expense reports, and other payments in EAS accounting application
    • Review and allocate credit card transactions to the right company and maintain receipts for related charges
    • Process all monthly recurring payables including utility bills, building expenses, and any subscriptions
    • Maintain accounts payable email inboxes
    • Maintain and update vendor files and contracts
    • Maintain all accounts payable files and records, including W-9’s
    • Maintain vendor profiles and updates existing ones, as needed
    • Communicate with vendors regarding questions and accuracy of bills
    • Manage the preparation and mailing of the 1099 forms annually
    • Manage storage of records and filing of invoices


    • Associates degree preferred with 5-7 years of relative work experience 
    • Knowledge of General Ledger and Accounts Payable systems and MS Office applications
    • Intermediate Excel abilities with working knowledge of basic formulas and pivot tables
